Payroll Code Information

This information is designed for use by supervisors who need information about leave codes used for proper time reporting in the state's payroll system. These codes are the same whether time is entered and approved through ESS, paper timesheets, Changepoint or AiM. Proper understanding by supervisors of the different leave codes helps state agencies comply with the Fair Labor Standards Act (FLSA) and ensures effective use of payroll expenditures. Please take the time to make sure you understand what you are looking at when you see leave codes and learn what you should do when you see certain codes. OJ - Other Jury

What supervisors need to know about this leave code:

  • Make sure to review the Other Leave information in the General Leave Information section
  • Employees called for jury duty have two options per DHRM Rule 477-7-8:
    • Receive paid jury leave and return any juror's fees paid to them by the court to the state OR
    • Use their own paid leave (A, C, V or X) and keep the juror's fees paid to them by the court
  • Participation in legal proceedings in connection with state employment including hearings at the Career Service Review Office may also be paid as OJ
  • Employees may not use OJ leave for personal litigation matters

Before time records are submitted, supervisors should:

  • Discuss with employees upcoming jury assignments and participation in legal proceedings - usually this just means asking employees to let you know when they get a summons

When supervisors see this code on employee time records, they should:

  • Ensure that jury leave was used appropriately (one of the two options above) and that juror's fees are handled appropriately
