Payroll Code Information

This information is designed for use by supervisors who need information about leave codes used for proper time reporting in the state's payroll system. These codes are the same whether time is entered and approved through ESS, paper timesheets, Changepoint or AiM. Proper understanding by supervisors of the different leave codes helps state agencies comply with the Fair Labor Standards Act (FLSA) and ensures effective use of payroll expenditures. Please take the time to make sure you understand what you are looking at when you see leave codes and learn what you should do when you see certain codes. V - Converted Sick

What supervisors need to know about this leave code:

  • Converted sick is governed by DHRM Rule 477-7-5
  • Converted sick is earned when an employee uses less than 40 hours of sick leave in a year and has more than 144 hours of sick leave at the beginning of a calendar year - the payroll system will do these calculations automatically
  • Once earned, converted sick is used just like annual leave including the need for pre-approval
  • Converted Sick is limited to 320 hours
  • Converted Sick will no longer accrue after the conversion which occurs in January 2014

Before time records are submitted, supervisors should:

  • Make sure employees know that not using sick leave will allow them to convert some of that leave to be used essentially as annual leave
  • Discuss with employees upcoming leave including allowing employees to use as much leave as they earned that year
  • Ensure the employee has sufficient leave to cover the requested number of hours

When supervisors see this code on employee time records, they should:

  • Ensure the leave was properly approved
