Payroll Code Information

This information is designed for use by supervisors who need information about leave codes used for proper time reporting in the state's payroll system. These codes are the same whether time is entered and approved through ESS, paper timesheets, Changepoint or AiM. Proper understanding by supervisors of the different leave codes helps state agencies comply with the Fair Labor Standards Act (FLSA) and ensures effective use of payroll expenditures. Please take the time to make sure you understand what you are looking at when you see leave codes and learn what you should do when you see certain codes. What supervisors need to know about this leave code:

  • If an employee on worker's compensation leave chooses not to supplement compensation paid by the insurance with their own paid leave, the remainder of their scheduled time needs to be accounted for somehow and YI is the appropriate code
  • All benefits - including leave accrual and holiday pay - remain even though the employee is not paid *

  • * - PEHP will bill the employee for their portion of the health insurance premium if there is no pay in a pay period

Before time records are submitted, supervisors should:

  • Make sure employees know proper procedures for reporting workplace injuries

When supervisors see this code on employee time records, they should:

  • After ensuring workplace injury has been properly reported, you may see YI on the time record
